This Privacy Policy explains how Work Less Group Ltd collects, uses, shares, and protects your personal data when you use Work Less Golf More, and the rights you have. We are committed to handling your data in line with the UK GDPR and the Data Protection Act 2018.
1. Who is responsible for your data
The data controller is Work Less Group Ltd, a company registered in England and Wales (company number 17015163), registered office 29 Victoria Avenue, Rayleigh, England, SS6 9DH, trading as Work Less Golf More.
For any privacy question, or to exercise your rights, contact us at privacy@worklessgolfmore.co.uk.
2. What data we collect
- Account data: your name, email address, and the fact that your email is verified.
- Profile data: optional details you add, such as your home club, home location or postcode, and handicap.
- Engagement data: the courses you save, mark as played, add to your wishlist, and any feedback or notes you submit about a course.
- Subscription & payment data: your plan, billing history, and payment status. Card payments are handled by Stripe; we receive confirmation and limited details (such as the card type and last four digits) but not your full card number.
- Consent records: a record of the terms and policies you accepted, with the version, date, and the IP address used.
- Technical & usage data: your IP address, device and browser information, and information about how you use the Service, collected through cookies and similar technologies (see our Cookie Policy).
- Communications: messages you send us and our correspondence with you.
3. How we collect it
- Directly from you: when you register, complete your profile, subscribe, engage with courses, or contact us.
- Automatically: through cookies and similar technologies when you use the Service.
- From third parties: for example our payment provider (Stripe) confirms payment outcomes, and our analytics and maps providers process technical data on our behalf.
4. Why we use your data and our legal basis
| Purpose | Data used | Legal basis (UK GDPR) |

Where we rely on legitimate interests, our interest is running, securing, and improving our business and the Service in a way we consider does not override your rights. You can ask us for more detail about this balancing.
5. Marketing
We will only send you marketing emails where you have agreed, or where the law otherwise allows it. You can opt out at any time using the unsubscribe link in our emails or by emailing privacy@worklessgolfmore.co.uk. Withdrawing consent does not affect emails we need to send you about your account or Subscription (such as sign-in codes, receipts, or important notices).
6. Who we share your data with
We do not sell your personal data. We share it only with service providers who help us run the Service, and only as needed:
- Stripe: payment processing.
- Our email provider (SendGrid / Twilio): sending sign-in codes and service emails.
- Google: maps and location features (Google Maps) and website analytics (Google Analytics), subject to your cookie choices.
- Our video delivery provider (Bunny.net): hosting and streaming course-tour videos.
- Our hosting and infrastructure providers: hosting the website and database.
- Professional advisers and authorities: where required by law, or to establish, exercise, or defend legal claims.
These providers act as our processors under contract, or as independent controllers for their own limited purposes as described in their own privacy notices.
7. International transfers
Some of our providers (for example Google and Stripe) may process data outside the UK. Where they do, we rely on appropriate safeguards, such as UK "adequacy" decisions or the International Data Transfer Agreement / Addendum to EU Standard Contractual Clauses, so your data receives an equivalent level of protection. You can ask us for more information about these safeguards.
8. How long we keep your data
We keep personal data only for as long as we need it for the purposes set out above, and in line with the UK GDPR principle of storage limitation. In general:
| Data | Retention |
|---|---|
| Account & profile data | For as long as your account is open. After you close your account, we delete or anonymise it, usually within 12 months, unless we need to keep it longer for a reason below. |
| Engagement data (plays, saves, wishlist, feedback) | While your account is open; retained in anonymised/aggregated form afterwards for statistics and leaderboards. |
| Payment & transaction records | Up to 6 years after the transaction, to meet tax and accounting obligations. |
| Consent records | For up to 6 years after they cease to apply, as evidence of consent. |
| Sign-in codes | Deleted or expired within a short period (minutes to hours). |
| Server and security logs | Typically up to 12 months. |
Where we no longer need data, we securely delete or anonymise it.
9. Your rights
Under UK data protection law you have the right to:
- be informed about how we use your data (this notice);
- access a copy of the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased in certain circumstances ("right to be forgotten");
- restrict or object to our processing in certain circumstances;
- data portability: receive certain data in a portable format;
- withdraw consent at any time, where we rely on consent.
To exercise any of these, email privacy@worklessgolfmore.co.uk. We will respond within one month. There is normally no charge, and we may need to verify your identity first.
10. Security
We take appropriate technical and organisational measures to protect your data, including encryption in transit, restricted access, and secure handling of sign-in credentials and payment references. No online service can be completely secure, but we work to protect your data and to notify you and the regulator of a breach where the law requires.
11. Children
The Service is not intended for children under 16, and Subscriptions are only for those aged 18 and over. We do not knowingly collect data from children under 16. If you believe a child has given us their data, please contact us and we will delete it.
12. Cookies
We use cookies and similar technologies. For details of what we use and how to manage them, see our Cookie Policy.
13. Changes to this policy
We may update this policy from time to time. The version and date at the top show when it was last updated. If we make a significant change, we will let you know by email or through the Service.
